Toners and printers at work by far can get complicated especially if you have different models and serial numbers. For me, I wasn’t having that. I need to make it simple and easy to understand. Organizing comes easy for me but I know it is not for others especially when it comes to working. So I wanted to share my secrets with you and my creative organizing system that helps me. Yes, I am talking about the things I do at work that make my work easier to manage but also understandable in case your sick and someone else had to step in.

Storage Space

Having the right storage space matters! For my workplace, we have a dedicated storage room where we have our office essentials and needs. A mailroom in your office works as well. As long as you have space to hold all of your toners, waste containers and other items needs for your printers. Having one main area is key for when employees or your team need to access supplies on the fly. I recommend having designated areas by the printers if possible to have one of each colour and supplies for the printer near it. The rest that is collected should be in the storage room so that there is not to much clutter in the office.

After collecting all the information I needed for each printer I sat down and broke down each printer into a colour. One colour means it’s the same model and make. Therefore the toner is the same for these printers.



Next, I put the same sticker on all the tonners that match the printer.


Why because if you need to send someone to your stash of toners all you have to do is tell them what colour sticker they need to look for. It’s easy. If you want to take it to another level you can leave a chart in your storage room with the printer names, office locations and the colour sticker associated with the printer.

Chart

Speaking about charts, I like to keep one chart for myself at my desk or in a binder for quick access. By colour coding it to make the day sticker layout you have, you will be keeping. What to include on this chart:

  • Printer Model
  • Serial number
  • Location of the printer in the office
  • The number to the company for replenishing stock or repairs
  • Colour sticker associated with the printer

Keep it up to date

In order to keep this system running smoothly, you and your team will need to make sure to always keep it updated. That means if you changed printer locations or got a new printer altogether be sure to add the update. This simple, one-second adjustment to your sheet will do wonders for making this organizing system work for you. This information is all there for everyone and your team will be on the same page.
